Welcome- a Moment of Alignment

When you start the meeting, it's important to set the tone and let everyone know what to expect. Start by discussing the aim of the meeting and what you hope to achieve by the end of the agenda.

Make clear any ground rules, such as no interruptions, and let everyone know that they'll have a chance to contribute.  

As you lay the foundation for the meeting, note that this is also a good time to build rapport with the team. So, aim to keep the mood light and make sure all attendees feel comfortable. This will help ensure that everyone is on the same page and knows what they need to do.  

Understanding Vision Statements- Discovering the "Why"

The next step is to get into the meat of the meeting. The first order of business is to ensure that everyone understands what a vision statement is and why it's so important for your company to have one. This will help everyone understand the importance of the meeting and get them thinking about their own vision statements.

This is a key stage of the meeting, so you want to make sure that everyone has a chance to be heard.

Review Vision Themes- Identifying Key Themes

Once all the ideas have been shared, it's time to start narrowing them down. Review all of the ideas, identify any common themes that emerged and clarify their meaning. These themes will be used to prioritize concepts that are most important to your company's vision.  

Prioritize Concepts- Ranking the Ideas

Now that you have a list of themes, it's time to start prioritizing them. Start by discussing which themes are most important to the company's vision. Then, rank the concepts in order of importance. This step is important as it will help you focus on the most important ideas as well as allow you to start thinking about which ideas might need more work.

Remember to involve everyone in this stage so that you can get as many perspectives as possible.

Once you've prioritized the concepts, it's time to start drafting options. This is where you'll start fleshing out how the company can achieve its vision. Brainstorm a few different options and then discuss them as a group. Make sure to consider any barriers that might stand in the way.

While at this stage, you don't need to have everything figured out, but it's important to start thinking about how you can make the vision a reality.

This stage is all about getting ideas down on paper so that you can start making progress. Also, make sure that everyone has a chance to contribute.

Closing and Next Steps- Wrapping Up the Meeting

End the meeting by discussing the next steps. Decide how you will finalize the statement and assign tasks to individuals or teams to tie up and publish the statement.
