Introductory Team Meeting

As a leader, you probably know the importance of communication within your team. But sometimes, it can be difficult to get everyone on the same page right from the start. That's why having an introductory team meeting agenda template is so important. This document will help guide your meeting and ensure that every attendee gets value from the introduction.

Let's take a closer look at what this agenda should include.  

Ice breaker  

The first step is to break the ice and get everyone comfortable with each other. You can do this with a simple icebreaker question like "What do you like doing outside work?" "What's your favorite fruit?" or "What's your favorite place to go on vacation?" This will help everyone feel more comfortable and open up communication within the team.  

An ice breaker is a great way to start any meeting, but it's especially important in an introductory team meeting where everyone is getting to know each other. It kills the awkward silence as well as strengthens the connection among members as they get to know each other on a more personal level. It also allows everyone to participate as you don't want anyone feeling left out or like they can't contribute.  

Team Work  

Once everyone has had a chance to introduce themselves, it's time to start talking about how the team will work together. This part can have several sections, including:

  • Discussion on why you have introductory team meetings- It is important to explain and insist on why it is a good idea for the team to have an introductory team meeting. This way, attendees can understand why being attentive, engaged, and active during the meeting is important.
  • Briefs on roles. It's of essence that everyone knows their role within the team and how they can contribute to the team's success. Therefore, let each department describe what they do and how they connect with other departments to make progress at work.  
  • Discussion on how you can work together as a team- This is a great opportunity to talk about your team's values, mission, and vision. Explain to your team what you believe in, where you are and where you're heading. You can never get tired of talking about this, as it's the foundation of your team.
  • You can also dig into how you, as a leader, can support the team and help them to achieve their goals. To start off this conversation, you can suggest some examples of how you can be of help, for example, by providing resources, mentorship, or training.

Ways of Communicating as a Team

In order to build a strong and effective team, it's important to establish clear lines of communication from the start. This way, everyone knows how they can best contribute and where to go if they have any questions. In this section, you should state your preferred methods of communication. Do you prefer email, Slack, text, or phone calls?  

You can also talk about the team's communication style and how you can work together to make sure everyone is on the same page. For example, you might want to set up a weekly team meeting where everyone gives a brief update on their progress. Or you might prefer to communicate via email or soapbox on a daily basis. Whatever your preference, make sure that everyone is aware of it and knows how to contact you.  

Expectations and Career Ambitions  

In this section, you should let the team members know what you expect from them. This can include anything from their work ethic to their attitude. Setting expectations can help reduce confusion and maximize performance. It can also help keep employees focused and accountable for their actions.  

You can also ask questions about their career and plans for the future. This is a great opportunity to get to know your team members on a personal level and to understand what motivates them. You can ask them questions like where they see their career 2-3 years from now? What motivates them? What drives their work ethic? Remember not to push it too much as some employees may not feel comfortable sharing this information in a team setup.

Questions and Feedback

What better way to finish up the meeting than having time for team members to ask questions? This is your chance to address any concerns they might have and to make sure that everyone is on the same page. You can also use this time to get feedback from your team on how they think the meeting went and what they would like to see in future meetings.
